Payment reminder

When a bill is past due, open “My documents” and choose “Remind” next to it. You get a ready message, polite or firmer, in the document's language, with the amount, the due date and the link. It opens in WhatsApp or your email app, where you read it, edit it and send it yourself.

Two tones, two ready texts

“Reminder” is the first, friendly nudge. For INV-2026-031, a $952.60 bill, the email subject reads “Reminder: invoice INV-2026-031” and the message: “Hello, A quick reminder: invoice INV-2026-031 for $952.60 (due November 3, 2026) has not been paid yet. Thank you!”

“Second reminder (firmer)” stays courteous, with no threat and no penalty: “Unless we are mistaken, invoice INV-2026-031 for $952.60 (due November 3, 2026) is still unpaid. Please arrange payment as soon as possible, or let us know when to expect it.” Both end with the link and your name.

WhatsApp or email, never automatic

“Remind” never sends anything by itself: the message opens in WhatsApp or in your email app, where you can change a word before sending. Nothing goes through our server; the date you prepared a reminder is noted next to it, in this browser only.

Due dates and overdue days

A reminder needs a due date. Choose the “Payment terms”, for example Net 30, when you fill in the document; once the due date passes, “My documents” shows how many days it is overdue.

Paid, partly paid, still to collect

When the money arrives, choose “Mark as paid” and enter the payment date. If the client paid a deposit, entered as “Already paid (deposit)”, the reminder asks only for the balance. Above the list, “To collect” adds up what is still unpaid, currency by currency, and “Export as CSV” gives you the list for a spreadsheet.

No late fee added

We found no federal rule on how or when to remind a client in the United States, and the generator adds no late fee or interest to the message. If your contract sets terms for late payment, write them in “Notes” on the invoice itself. Once you are paid, a receipt confirms it.

Frequently asked questions

Can I send a reminder in Spanish?

Yes. The message follows the document's language; a bilingual one gets both texts, one under the other, as on an English–Spanish invoice.

Does the reminder include the PDF?

No. It includes the link, which opens the document in your client's browser. Attach the PDF yourself in your email app if you prefer.

Can I change the wording?

Yes. The message opens in WhatsApp or your email app, where you edit it freely before sending. For hourly work, see the freelance invoice.
