A freelance invoice lists the work, the time or fee for each item, and how you want to be paid. The generator on this page is set to the United States: bill by the hour, subtract a deposit if you took one, add your payment details and download a Letter-size PDF.

On this page, “Unit per line” is already on and each line starts in “hrs”: enter the hours as the quantity and your hourly rate as the price. When every line is in hours, the price column reads “Rate”; add a fixed item and it switches back to “Unit price”. Quantities can be decimals: 2.5 bills two and a half hours.
A designer bills a café for 18 hours of website redesign and 2.5 hours of meetings at $95 an hour: $1,710.00 plus $237.50, so $1,947.50. The café paid a $500 deposit up front, entered under “Already paid (deposit)”, so the balance due is $1,447.50, payable within 30 days.
In “Payment and notes”, “Insert a payment template” adds a ready line for a check, an ACH transfer, Zelle, PayPal or Venmo; replace the dots with your own details. The details print exactly as you type them. With an “Online payment link”, your client also gets a “Pay online” button when you share the invoice as a link.
A client may ask you for Form W-9, which gives your taxpayer identification number to the person who is required to file an information return (IRS, About Form W-9). It is a separate form: send it on its own, not as part of the invoice.
Form 1099-NEC is filed by the client who pays you, not by you. For tax years beginning after 2025, the minimum reporting threshold for certain payments is $2,000 (IRS, Instructions for Forms 1099-MISC and 1099-NEC, 12/2026).
Invoices you download or share are kept in “My documents” with their due date. Choose “Mark as paid” once paid; otherwise “Remind” prepares a polite “Reminder” or a “Second reminder”, in the invoice's language, to send by WhatsApp or email. Both texts are on the payment reminder page.
Agree on the scope first with an estimate; once it is accepted, “Create invoice” in “My documents” turns it into an invoice without retyping. After payment, a receipt confirms what you received.

It depends on your state and on what you sell: states tax different goods and services differently, and some items not at all (USA.gov, State taxes). The generator adds no sales tax unless you enter a rate; the US invoice guide explains how rates work.
No. Form W-9 is a separate IRS form your client keeps for its own reporting; send it on its own when asked.
Yes. Pick “flat rate” as the unit, or leave it empty, and enter the fee as the price; the column then reads “Unit price”.
Yes. Tick “Add a second language” in “Languages and currency” for an English–Spanish invoice: every label appears in both languages, and the rate column reads “Rate” and “Tarifa por hora”.
